How to Add Captions to Instagram Reels

Captions let people follow your Reel without sound and help everyone keep up with fast speech. Keep lines short, readable and in sync with the voice, and check names. In InstaLoad the AI transcribes your video and burns in captions in one of 6 styles that you can correct.

01

Why captions help

Some people watch video with the sound off, for example on public transport, at work or in bed next to someone sleeping. Captions let them follow your message anyway.

Captions also help anyone who is deaf or hard of hearing, people who find an accent or fast speech difficult, and viewers who simply like to read along. For a small business, they make sure a price, a name or an offer is not missed.

Captions are also a quick quality check. If you read them and the message is unclear, the speech probably needs tightening before you publish.

02

How to write readable captions

Readable captions are short, well timed and easy to see. Read them with the sound off before you publish. That is the closest you can get to how a silent viewer will see the Reel, and it is the fastest way to catch typos, missing words and awkward line breaks.

  • Keep each caption to one or two short lines, so the viewer can read it at a glance.
  • Match the timing to the voice. Words should appear when they are spoken.
  • Use large text with strong contrast against the video.
  • Keep text inside the safe middle area, away from the edges where buttons and the Instagram caption may cover it.
  • Spell names, products and places correctly. Check numbers and prices twice.
  • Cut filler words if you edit by hand, but do not change what the person meant.

03

The 6 caption styles

InstaLoad offers 6 caption styles. Pick the one that fits the personality of the clip.

  • Classic: clean text at the bottom, a safe choice for talks and tutorials.
  • Bold: heavy, large letters that are easy to read quickly.
  • Boxed: text on a solid box, useful over busy backgrounds.
  • Karaoke: the line stays on screen and each word lights up as it is spoken.
  • Word by word: one word at a time, for a fast, punchy feel.
  • Minimal: small, quiet text for a calm and simple look.

04

Correct names and brand words

Automatic transcription can get unusual names wrong: a bakery's name, a product like a flavor, or a street. After the Reel is made you can correct wrong names or words. Each Reel allows 2 updates for free.

If you use an AI voice-over and a corrected line has to be spoken again, that costs 2 credits. To avoid repeat fixes, add your brand names to the glossary, which protects them from being changed.

Keep a short list of the names you use often: your business, products, staff and neighborhood. Check each one in the finished captions, even when the transcription looks right.

05

How InstaLoad adds captions

Reels are included in every plan. Upload an MP4 or MOV up to 50 MB and up to 30 minutes. The AI transcribes the video, picks short vertical clips and burns in the captions in your chosen style. Once the Reels are ready you can publish after the confirmation step or schedule them for a date and time. Nothing is published until you decide.

  1. Upload your video (MP4 or MOV).
  2. Let the AI transcribe it and propose clips.
  3. Choose the clips and one of the 6 caption styles.
  4. Review the text and correct any wrong names or words.
  5. Publish or schedule the Reel.

06

Credits and limits

Each clip costs 10 credits, plus 5 more with a voice-over. Every plan includes monthly credits (50, 100 or 400). A Reel that fails costs nothing. Captions are burned into the video, so they cannot be turned on or off by the viewer. As an example, one clip with no voice-over costs 10 credits, and the same clip with a voice-over costs 15.

Questions

Why should I add captions to my Reels?

Captions let people follow your message when they cannot or do not want to turn the sound on. They also help viewers who are deaf or hard of hearing and anyone who finds fast speech hard to follow.

Which caption style should I choose?

Classic and boxed are safe for tutorials and talks, while karaoke and word by word suit short, energetic clips. Try one style for a few Reels and see what looks right for your brand.

Can I fix a wrong name in the captions?

Yes. Each Reel allows 2 updates for free. If an AI voice-over has to say a corrected line again, it costs 2 credits, and the glossary helps protect brand names from the start.

Do I need a special plan to add captions?

No. Reels, including burned-in captions, are part of every plan. Each plan includes monthly credits (50, 100 or 400), and a clip costs 10 credits.
